How to report an Email Virus

To report an E-mail viruses please send an E-mail to the ITS Security Team at security@gallaudet.edu with the following information:  

  • Forward the e-mail with the virus to security@gallaudet.edu
  • In the body of the E-mail include the headers of the original E-mail.

Part of the E-mail headers looks something like this:

Return-Path: <john.doe@gallaudet.edu
Received: from n054.sc0.cp.net (209.228.64.53) by n015.sc0.cp.net (7.0.030.2)
       id 4101FF5E000663FB for jane.doe@gallaudet.edu; Fri, 30 Jul 2004 18:24:53 +0000

The bold section may look like gibberish to you but it contains valuable information so we can investigate the origin and take appropriate action.

This document explains how to report headers using Outlook and Outlook Express.

To report E-mail headers if you use Microsoft Outlook Express do the following steps:

  • Right click on the e-mail with the suspected virus and select Properties


  • A new window should pop up.  Click on the tab that says Details.  You should see something like the below window without the blacked out portions.

  • Select the whole section with your mouse and then right click and select “Copy” to preserve the data
  • Click on Ok on the Details tab
  • Right click on the E-mail and select Forward as Attachment

  • A new window will pop up.  In the To: field type security@gallaudet.edu.  In the Subject: Field type Virus.  In the body do not type anything except to paste the headers from step #3.  You can paste the headers by right clicking on the body of the email and selecting Paste.  A good reporting E-mail would look like the below message.  Select Send to send the message.

  • You can delete the e-mail as you will no longer need it.  The ITS security team will be in contact with you if further information is needed.

To report E-mail headers if you use Microsoft Outlook do the following steps:

  • Right click on the e-mail with the suspected virus and select Options

  • A new window should pop up.  Look at the Internet Headers section.  Select the whole section (be sure to copy from the top to the bottom) with your mouse and then right click and select “Copy” to preserve the data.  Select Close.

  • Right click on the E-mail and select Forward

  • A new window will pop up.  In the To: field type security@gallaudet.edu.  In the Subject: Field replace the contents with the word Virus.  In the body do not type anything except to paste the headers from step #2 at the top.  You can paste the headers on the top part of the email by right clicking on the body of the email and selecting Paste.  A good reporting E-mail would look like the below message.  Select Send to send the message.

  • You can delete the e-mail as you will no longer need it.  The ITS security team will be in contact with you if further information is needed.
